HOST CITY COMMITTEES

ADMINISTRATION

Overall “local” management of processes and “local” committees. Prepared to address issues and pick-up slack as needed. Should include all local Minister’s Wives and committee chairs/co-chairs for reporting progress and requesting assistance.

GREETERS | HOSTESSES

Posted at various locations thoughout the hotel to greet and direct conference attendees. Includes checking conference badges for breakfast and banquet as needed. Provides information for hotel registration, conference registration and locations of conference events (i.e. session area/rooms, breakfast, vending area, etc.). Will be needed starting Thursday approximately 12:00pm.

DECORATIONS COMMITTEE

Decorate general session stage and any additional points within the hotel as needed. Also provides and set-up decorations for the Saturday night banquet.

BANQUET PROGRAM

Creates the banquet program for Saturday night and secures participants for the presentation/event. Also decides on and provides the hard copy program, if needed.

SOUVENIR BAG ASSEMBLY

Assemble MWCCC souvenir bags. Bags will be stuffed with t-shirts, event promo items and items received from local merchants. Bags will be assembled at the host hotel on the Wednesday before the conference. 

SOUVENIR BAG INSERTS

Source local information (i.e. restaurant discounts, attractions, area maps etc.) and donations (i.e. pens, hand sanitizer, advertisements, etc.) to be included with items received from the Executive Committee. Provide all items to the Assembly Committee by end of business the Monday before the conference.

REGISTRATION

Provide coverage at the registration table, to welcome and check in attendees. The team will also assist with any on-site needs the MWCCC registration team may have. Registration will run from Thursday at 3PM  thru end of sessions on Friday.

YOUTH COORDINATION

Gather and communicate with young ladies (ages 12-17) to register for the 2023 Lectureship. You will also assist with securing young ladies to attend the youth session scheduled Saturday from 9am – 1pm. Identify financial sponsors and support any fundraising events to cover conference cost for the youth participants.

TRANSPORTATION

Provide vehicles and drivers to pick-up and drop off conference participants (i.e. Executive Committee members, VSC representatives, speakers, etc.) to and from airport specifically Thursday, Friday and Sunday. The exact need will not be available until late in the process, therefore multiple and/or flexible drivers should be on standby understanding all may not be utilized. Funds will be provided to the drivers for gas.
